4 EHR Frustrations and How to Avoid Them

Say Goodbye to EHR Frustrations & Hello to More Patients

There are too many windows and tabs. It doesn’t fit my practice. It’s so slow.

Any of these sound familiar? If you’ve been using an EHR system for a while now, chances are you’ve been frustrated a time or two. Whether it’s poor workflow or missing features, a bad EHR can slow you down and take time away from your patients. And aren’t they the whole reason you started practicing in the first place?

Here’s the thing though – EHR doesn’t have to be frustrating. In fact, our clients find it can actually improve their practice in a number of ways. From increased patient load to smoother office workflow, a good EHR system puts your practice on track and gets you back to what matters, patient care.

Let’s take a look at the leading EHR frustrations we’ve encountered, plus tips for picking a system to help prevent them.

  1. The EHR is so slow – there’s poor workflow and inefficient data entry.

Speed is often one of the most common complaints of EHR software. Not only can you encounter frustrations with internet connections and desktop applications, but the system in and of itself may not be configured to optimize data entry. Navigating through a complicated system and entering duplicate data is redundant and time consuming.
The solution – Look for an EHR with workflow designed specifically for eye care and data management that optimizes documentation. FoxFire is designed to follow common practice workflow while boasting automated entry, custom fast plans and quick chart completion to speed up the entire process.

  2. We can’t customize the system – we’re stuck trying to make our practice fit the EHR.

Every practice is different. There is no one size EHR that fits all. If you’re unable to customize your system to your exam or documentation style, you’re never going to get the most out of your EHR.
The solution – Look for an EHR with easy and complete customization capabilities. You want an EHR that you can fit to your practice style, not the other way around. FoxFire offers easy, on-the-fly customization throughout the entire system. From drop-down menus to complete patient plans, you build the EHR so that you are successful.

  3. The system is not built for eyecare – we’re missing key features and it’s clear it was not designed with the end-user in mind.

A lot of EHR providers design a system without input from the end-user. More often than not, it’s a general system built for use by a wide variety of specialties. While it may work, it lacks the tools eyecare providers need and doesn’t function with the user in mind. A poor user experience can make the entire system fail.
The solution – Start by looking for an EHR provider built specifically for eyecare. Then see if they offer user input and feedback in their design process. To keep improving, the company needs to focus attention on what their clients need and want out of the system. For FoxFire, we start with a system built specifically for eyecare and then continue upgrading based on client feedback. We welcome and encourage providers to submit requests or opinions on design, usability, features and more as we look to continually meet and exceed their expectations.

  4. The imaging is poor – the imaging is slow and we’re limited in what we can do with it.

High quality imaging allows providers to better manage patient care. Without a system that offers it, you’re missing out on a huge opportunity. Not only that, but if you’re wasting time waiting for images and not able to properly document, you’re losing a key tool for monitoring patient progress.
The solution – Look for an EHR with high quality imaging capabilities and the ability to connect your devices. FoxFire offers DICOM capable imaging built directly into the system. You can quickly upload images direct from your integrated devices and utilize a bevy of tools for viewing, annotating and diagnosing.

It’s time to say goodbye to EHR frustrations and say hello to more patients. At FoxFire Systems Group, we work daily to improve our system and service to optimize our clients’ success. If you’re ready to see how we can boost your patient load and eliminate the hassle of EHR, contact us today.

ICD-10 October 1st Updates

Now & Then – The Changes to ICD-10

About this time last year, the healthcare industry made a major shift in the way providers document patient care. Transitioning from the original ICD-9 code set to the new ICD-10 brought nearly 70,000 new codes into the mix. Providers were required to not only learn the new coding guidelines, but to implement them appropriately in order to meet the requirements of Centers for Medicare & Medicaid Services (CMS).Now, almost a year later, providers are faced with a new ICD-10 challenge, making the full transition complete.

On October 1, 2016, over 5,500 new codes will be added to the ICD-10 code set. For eye care, there will be 1900 diagnosis codes (ICD-10-CM) added, with over 500 relating directly to managing eye care. These new additions reflect the full code set, adding in a backlog of codes that were not implemented due to the freeze in the initial transition from ICD-9.

For providers in eye care, there are four major areas that will be impacted by this coding change:

  • Diabetes
  • Retinal Vein Occlusion
  • Age-Related Macular Degeneration
  • Primary Open-Angle Glaucoma

For the areas listed above, providers will now have laterality and severity codes to use. Over the past year, providers were able to take advantage of an adjustment period in which coded claims were accepted as long as they fell into the correct ICD-10 code family. Moving forward, these generic or incorrect coded claims will no longer be accepted.

Lucky for FoxFire clients, the work has already been done. From day one, FoxFire Systems Group has managed the transition from ICD-9 to ICD-10 to take the headache away from our clients. Our EHR and practice management system is automatically updated to reflect the coding changes so that clients are prepped and ready to work live from day one. With helpful guides like our Cheat Sheet and our expert billing team on staff, we have the knowledge and tools providers need to move forward with the changing times.

Don’t Wait to Switch EHR – Here’s Why

Learn the negative impacts of using a poor EHR system

If you’ve been teetering with the idea of switching your EHR provider, chances are you have a long list of reasons why your current EHR just isn’t cutting it. You may be slowly researching new providers, checking out a demo here and there. But what are you waiting for?

If you’re ready to switch EHR, we’re here to tell you there is no better time than now. The negative consequences of continuing to use a system that doesn’t fit your practice only compounds with time. While the thought of switching systems may seem like a daunting task, there are several factors that you should consider that demonstrate why you can’t, and shouldn’t, wait to make the switch.

Reduced Patient Load
If you’re using a faulty, out-of-date, or inefficient system it’s almost guaranteed that your patient load is taking a hit. One of the last places you want to see an EHR impact your practice negatively is your patient load or ability to see a high number of patients per day. The longer you continue to use your current system, the fewer patients you are seeing over the course of a few months, years, etc. This impacts the success of your business on a multitude of levels.

Lost Profits
Your daily patient load is directly proportional to your profits. The fewer patients you can see in a day the less money you are making. Analyzing a practice’s current patient load, we often find thousands of dollars or more left on the table, simply because their EHR can’t keep up.

Practice profits are also impacted when it comes to staffing. While good personnel are an invaluable asset, some practices are keeping excess staff on the clock just to get everything done. A more efficient system built around your patient flow can loosen up some extra time for staff to focus on the patients rather than working on paperwork behind the scenes.

Compliance Issues
If you’re not familiar with Meaningful Use and PQRS then your EHR is not cutting it. There’s a host of requirements providers must meet or they face potential penalties and fines. While this may seem insignificant, the penalties your practice faces will add up, quickly. The longer you wait to switch to a compliant system, the farther behind you fall and the more fees it could cost your practice.

Outdated Technology
The world of technology and EHR software is always growing and changing. There is new equipment, new testing, new software updates that constantly change the game. You can’t afford to be stuck in an old system, using old technology. It will only hinder your ability to provide good patient care and limit how your practice can advance.

Lost Confidence
Let’s face it, not everyone is tech-savvy. But the thought of EHR should not be scary. Those who are stuck in a poor system with poor customer support are slowly destroying their confidence and their positive attitude towards the future of healthcare. You can’t afford to wait to see the negative implications pile up. You want to be confident in your EHR and rest assured you’re in good hands.

While there are certain steps you will have to take to switch your EHR provider, it is clear that the longer you wait to make the switch the more you are hurting your success. Take the next step now and find an EHR provider with the quality, support and innovation you can work and grow with.

5 Reasons to Switch EHR

Don’t Get Stuck With a Bad System

Take a look at five of the most common reasons practices are looking to switch their EHR providers. If you’re experiencing some of these same issues/concerns, chances are your EHR is not a good fit. Take a minute to read through and consider how these impact your daily operations. It may be time to look at what else is out there.

1. Cost & Hidden Fees

The cost of an EHR system is one of the most common factors practices address when choosing a provider. It is also one of the most common reasons practices switch EHR. Whether you’re getting hit with hidden fees or forced to pay upgrade costs, your practice literally can’t afford to be bogged down by unplanned expenses. If you’re seeing numbers pile up quickly, you need to consider a more cost effective system.

2. Inefficient Software

If you find yourself taking longer to complete a patient exam because of your EHR, chances are your patient load is being negatively impacted. Efficiency in a practice is key in terms of staying on schedule and maximizing the number of patients you can see per day. More patients means more profits. Switching to a new EHR provider may provide you with the efficiency your practice needs.

3. Not Built for Eye Care

There are several EHR providers that offer software for a wide spectrum of specialties. These are general systems, built to fit multiple needs while offering little in terms of customization. Using this type of system, you may be experiencing more difficulties because it just can’t accommodate everything that your practice needs. Choosing an EHR provider built specifically for eye care will provide you with all the tools you need, arranged in a way that will optimize your patient flow.

4. Poor Customer Support

Although most EHR systems offer methods for getting assistance, there is a clear difference between good customer support and bad customer support. You shouldn’t have to wait on the phone for hours or speak to someone overseas. You shouldn’t have to wait weeks for an email back fixing your problem. If you’re falling behind because you’re not getting the support you need, you have to consider switching to a provider with a team you can truly rely on.

5. Discontinued/Outdated Technology

Let’s face it, technology is always changing and your EHR system needs to keep up. You can’t afford to get stuck with outdated software or your practice will slowly fall behind. Not only does this negatively impact your operations but it also impacts your confidence moving forward. If you’re still using old software, it’s time to get your practice up to speed with an EHR provider that you can trust to lead the way as technology continues to change.

Although switching to a new EHR system may seem like a daunting task, it can have a huge, positive impact on your practice. A good EHR system can motivate staff, simplify daily operations, increase patient load, improve patient care and change your attitude toward EHR. Want to see what we mean? Consider taking FoxFire EHR for a spin. We’d love to show you personally how we tackle these issues and lead the way for EHR in eye care.

FoxFire Now Live with Kansas Health Information Network

Clients now actively using KHIN Interface

FoxFire Systems Group is pleased to announce that the Kansas Health Information Network (KHIN) interface within FoxFire EHR is officially live. After wrapping up the phases of development and testing, FoxFire launched the KHIN interface, making it available for current clients. FoxFire is the first EHR provider in the eye care industry to do so. Providers in the state of Kansas can now utilize KHIN to exchange information across the state and better manage their patients’ care.

At its core, KHIN is a secure exchange connection developed to collect health information for patients and share it with a network of health care providers from all disciplines. The interface within FoxFire EHR allows current providers in the state of Kansas to utilize this exchange to easily share their patient information. Not only does the technology meet requirements for Meaningful Use, but now providers can also take advantage of significant incentive payments from Blue Cross Blue Shield.

When presented the opportunity to work with KHIN, FoxFire eagerly accepted, recognizing the significant benefits it would offer clients in Kansas. Staff welcomed the challenge to develop the interface and seamlessly integrated it within the current software. Striving to always offer the latest technology, FoxFire looks forward to seeing the positive impact of the new connection.

“FoxFire is pleased to see the project come to fruition. We eagerly anticipate feedback from clients and look forward to seeing the positive impact it has on how they are able to manage their patient care,” said Korry Petterson, President FoxFire Systems Group.
